Overview

Lostine is seeking a detail-oriented Purchasing & Receiving Associate to support the purchasing and material flow needs of our production department. This role is responsible for creating and tracking purchase orders, receiving and verifying incoming shipments, maintaining accurate inventory records, and coordinating closely across our team to make sure the right materials are on hand when they're needed.

The ideal candidate is highly organized, reliable, and comfortable juggling multiple priorities in a fast-paced production environment. This person takes ownership of the details — tracking orders, catching discrepancies early, and following through on loose ends without needing constant oversight. This role reports to the Production Manager day-to-day, with functional guidance from our Purchasing & Inventory Control Lead on purchasing systems and procedures.

Lostine has a small, high-mix production shop where every member plays a crucial role. This is a great fit for someone with purchasing, receiving, or inventory experience who wants to be a connective piece between vendors, subcontractors, and the production floor.

Essential Duties & Responsibilities

  • Create, issue, and track purchase orders for production materials (wood, leather, hardware, consumables, tooling) based on department needs and established reorder points.
  • Receive incoming shipments, verify quantities and conditions against purchase orders, and log receipts into inventory records.
  • Process and submit vendor invoices for payment in a timely manner, matching invoices against purchase orders and delivery records to confirm accuracy
  • Coordinate outbound shipments of materials and components to third-party subcontractors, and perform quality checks on subcontracted work upon return, flagging any issues to the Production Manager.
  • Coordinate with Production Leads to confirm correct stock and materials are on hand to support scheduled production.
  • Flag material shortages, delivery delays, or discrepancies promptly to the Production Manager.
  • Maintain accurate, up-to-date inventory records for production materials, including basic cycle counts as directed.
  • Follow established purchasing systems, vendor standards, and receiving procedures set by the Purchasing & Inventory Control Lead, and escalate process questions to them.
  • Assist with organizing and maintaining materials/stockroom areas, including proper storage and labeling.
  • Communicate with vendors on order status, delivery timing, and basic order issues, escalating pricing or vendor relationship matters to the Production Manager.
  • Support the Purchasing & Inventory Control Lead with year-end inventory count and periodic inventory reconciliation and reporting as needed.
  • Follow all shop safety procedures related to material handling, storage, and equipment use.

Requirements & Qualifications

  • Previous experience in purchasing, receiving, inventory, or a related production/warehouse support role.
  • Strong organizational skills with excellent attention to detail.
  • Comfortable communicating with vendors via email and phone and coordinating across multiple departments.
  • Ability to manage multiple priorities and adjust to shifting production needs.
  • Basic proficiency with inventory or purchasing software and spread sheets (training provided on Lostine's specific systems).
  • Good communicator, comfortable working independently and as part of a team.
  • Coachable and adaptable, with the ability to follow established procedures while flagging issues proactively.

Desired But Not Required Qualifications

  • Experience in purchasing, receiving, or inventory in a manufacturing environment.
  • Familiarity with wood, metal, leather, or hardware materials and manufacturing processes.
  • Experience with cycle counting or inventory reconciliation.
  • Experience coordinating with third-party vendors or subcontractors.
  • Familiarity with lean manufacturing principles
